Budget categories: a complete starting list

Build a category system that guides real decisions without creating more detail than you can maintain.

The best budget categories reflect how you make decisions. They are specific enough to show where money goes, but simple enough that you will categorize every transaction and review the totals.

Start with three types of expenses

Fixed expenses

These are predictable commitments such as rent, insurance, phone service, and minimum debt payments. The amount may change occasionally, but the bill appears regularly.

Variable expenses

Groceries, dining, fuel, clothing, and entertainment change with your choices and circumstances. These categories benefit most from checking the remaining amount during the month.

Irregular or “true” expenses

Car repairs, annual subscriptions, gifts, travel, and home maintenance may not happen monthly, but they are still expected. A sinking fund turns each into a manageable monthly contribution.

How many budget categories should you have?

Use the fewest categories that still help you make different decisions. If “food” does not show whether restaurant spending is crowding out groceries, split it. If separate streaming categories never change your choices, combine them under subscriptions.

A practical starting range is less important than maintainability. Begin broad, review for one or two months, and add detail only where it reveals a useful pattern.

A category earns its place when it changes a decision. If two categories always have the same spending rule, they may belong together.

The original purchases are the expenses. Paying the credit card is generally a transfer from checking to the card account, not a second expense.

Transfers between your accounts

Moving money from checking to savings changes where the money lives. Track the savings goal separately so the transfer does not inflate income or spending.

Split a transaction when the distinction is meaningful. Otherwise, place it in the dominant category and apply the same rule consistently.

Choose a budgeting framework
